This is an exciting opportunity to contribute to their continued success.Job DescriptionTake the lead in all facilities-related operations for the London office, management of a facilities manager along with Front of House, catering, security, cleaning, printing, post room, and more.Manage suppliers across various categories, ensuring the smooth provision of services such as Front of House, catering, desk and room booking systems, security, travel, stationery, and maintenance.Oversee physical security arrangements for all offices, including guarding, access control, CCTV, and intruder alarms.Act as the primary point of contact for facilities-related emergencies, providing immediate response and escalation as necessary.Manage office moves, acquisitions, and other business-as-usual processes in alignment with company policies and procedures.Assist in tender processes for facilities services and ensure a seamless transition when implementing changes in suppliers.Maintain and update the Facilities SharePoint platform, ensuring accurate and informative content that supports effective communication and customer service.Conduct space planning and utilization analysis to optimize office space usage and minimize surplus space in regional offices.Collaborate in the development of budgets for revenue, capital, and project expenditure, providing regular variance reports.Review and authorize supplier invoices, ensuring compliance with contracts and purchase orders.Take responsibility for the review and development of security access control policies.Advise regional facility managers and the senior leadership team on any security concerns.Provide project support for the rollout of security solutions and contribute to updating the Facilities risk register.Support the Head of Facilities BAU with ESG/ESOS and other environmental reporting requirements.The Successful ApplicantDemonstrable experience in Facilities management, covering both hard and soft services.Experience managing physical access control solutions, ideally with knowledge of ProWatch, as well as CCTV systems.Proactive problem-solving skills with a self-directed and motivated approach, promptly escalating any issues to senior leadership.Experience working in an organization undergoing transformational change and successfully implementing continuous improvement initiatives.An energetic and enthusiastic attitude, embracing change with a positive and flexible mindset.Strong multitasking abilities, capable of overseeing multiple ongoing activities simultaneously.Contract management experience, ensuring effective vendor relationships and service provision.Understanding of Health, Safety, and Environmental legislation within the workplace.Excellent communication skills, both internally and externally, fostering proactive collaboration with various departments.Effective teamwork, leadership, and line management skills.Excellent interpersonal, verbal, and written communication skills.Strong organizational skills with meticulous attention to detail.Team-oriented mindset, demonstrating integrity and professionalism.Ability to effectively multitask in a fast-paced environment.What's on OfferCompetitive salary and comprehensive benefits package.Opportunity to work in a prestigious private equity company in London.Chance to contribute to the ongoing success and growth of the organisation.Collaborative and dynamic work environment.Continuous learning and development opportunities.ContactJamila BenslikaQuote job refJN-062023-6075756Phone number+442030778008Job summaryJob functionFacilities ManagementSubsectorFacilities ManagementSectorPropertyLocationCity of LondonContract typePermanentConsultant nameJamila BenslikaConsultant phone+442030778008Job referenceJN-062023-6075756
